How Know Your Assignment collects, uses, discloses and protects the personal information you entrust to us.

1. About this Privacy Policy

Know Your Assignment is operated by Ruwach Global Enterprise Pty Ltd trading as Ruah Tech Solutions, ABN 73 147 792 774.

In this Privacy Policy:

  • “KYA”, “Know Your Assignment”, “we”, “us” and “our” refer to Ruwach Global Enterprise Pty Ltd trading as Ruah Tech Solutions.
  • “Platform” means the Know Your Assignment website, mobile applications, software, assessments, digital resources, communications and related services.
  • “you” and “your” refer to an individual who visits, accesses or uses the Platform.

We respect the personal and spiritual nature of the information entrusted to us. This Privacy Policy explains how we collect, hold, use, disclose and protect personal information when you interact with Know Your Assignment.

We aim to handle personal information in accordance with the Australian Privacy Act 1988, the Australian Privacy Principles and other applicable privacy and data protection laws.

2. Scope of this Privacy Policy

This Privacy Policy applies when you:

  • visit knowyourassignment.com or another KYA website;
  • download or use a KYA mobile application;
  • create or manage a KYA account;
  • complete an assignment, purpose or personality assessment;
  • receive a personalised assignment profile;
  • write journals, prayers, reflections or personal notes;
  • participate in growth pathways, challenges, groups or community features;
  • subscribe to KYA communications;
  • submit a testimony;
  • contact KYA for support, partnerships or general enquiries;
  • interact with KYA through a church, ministry or organisational partnership; or
  • otherwise use a KYA product or service.

This Privacy Policy does not apply to third-party websites, platforms or services that KYA does not control.

3. Personal information we may collect

The information we collect depends on the features you use and the way you interact with the Platform.

3.1 Account and identity information

We may collect:

  • your name;
  • email address;
  • telephone number;
  • username;
  • password or authentication identifier;
  • profile photograph;
  • age, date of birth or age range;
  • country, state, region or city;
  • preferred language;
  • church, ministry, organisation or community affiliation;
  • occupation, profession or area of service;
  • account preferences; and
  • information provided through third-party sign-in services.

We do not ordinarily receive your password where authentication is managed by an external identity provider.

3.2 Assessment and assignment information

When you complete an assessment or use a purpose-discovery feature, we may collect:

  • your answers to assessment questions;
  • information about your interests, strengths, experiences, personality, communication style and areas of service;
  • assignment, archetype or sphere-of-impact results;
  • primary and secondary assignment classifications;
  • personalised strengths and growth areas;
  • biblical parallels or examples associated with your result;
  • action plans, habits, objectives and progress information; and
  • information you provide when reviewing or updating your assignment profile.

3.3 Spiritual and sensitive information

Because KYA is a Christian spiritual-formation platform, some information you provide may reveal or relate to:

  • religious beliefs;
  • religious affiliations;
  • spiritual practices;
  • prayer life;
  • ministry involvement;
  • personal convictions;
  • spiritual experiences;
  • dreams, impressions or perceived confirmations;
  • church or denominational background;
  • testimonies;
  • pastoral matters; and
  • other deeply personal reflections.

Religious beliefs and affiliations may be considered sensitive information under applicable privacy laws.

By voluntarily entering this information into the Platform, you consent to our collection and handling of it for the purposes explained in this Privacy Policy.

You are not required to provide more spiritual or sensitive information than is reasonably necessary to use the relevant feature.

3.4 Journal entries, personal notes and user content

We may collect content that you create, upload, store or submit through the Platform, including:

  • journal entries;
  • prayer notes;
  • personal reflections;
  • declarations;
  • scriptures;
  • dreams;
  • perceived words or confirmations;
  • photographs or documents;
  • testimonies;
  • comments;
  • group or community contributions;
  • support requests; and
  • other written, visual or audio content.

Private journals and personal notes are intended for your personal use. However, authorised personnel and service providers may access this information where reasonably necessary to provide technical support, maintain security, investigate misuse, comply with law or operate the Platform.

KYA journals and personal notes are not continuously monitored and should not be used to request emergency, pastoral, medical or crisis assistance.

3.5 Technical and usage information

When you access the Platform, we may automatically collect:

  • Internet Protocol address;
  • device type;
  • device identifier;
  • operating system;
  • browser type;
  • application version;
  • language and time zone settings;
  • login dates and times;
  • pages, screens and features viewed;
  • assessment progress;
  • interactions with notifications;
  • crash reports;
  • diagnostic information;
  • referral source;
  • cookie and similar technology identifiers;
  • approximate location inferred from your IP address; and
  • other application performance and usage information.

We do not collect precise device location unless a feature requires it and you have granted the relevant permission.

3.6 Transaction and subscription information

Where KYA offers paid features, subscriptions, resources or services, we may collect:

  • product or subscription selected;
  • transaction date;
  • amount and currency;
  • billing country;
  • payment status;
  • renewal or cancellation status;
  • invoice or receipt information; and
  • limited payment-related identifiers.

Payments may be processed by Apple, Google or another payment provider. KYA generally does not receive or store your complete payment-card details.

3.7 Communications and support information

When you communicate with us, we may collect:

  • your contact details;
  • the content of your message;
  • enquiry category;
  • technical-support information;
  • correspondence history;
  • church or partnership information;
  • survey responses;
  • feedback; and
  • consent and communication preferences.

3.8 Information from churches and organisations

Where you access KYA through a church, ministry, employer, educational body or other organisation, we may receive:

  • your name and contact information;
  • your membership or participation status;
  • your access entitlement;
  • your organisational group or cohort;
  • administrative information; and
  • information required to provide the relevant program.

We will not provide your private journals, assessment answers or personal spiritual reflections to a church, ministry, employer or organisation unless:

We may collect information:

  • directly from you;
  • through assessments and other Platform features;
  • automatically through cookies, software development kits and analytics technologies;
  • from Apple, Google or another application marketplace;
  • from authentication, payment, cloud-hosting or support providers;
  • from a church or organisation through which you have been given access;
  • from publicly available sources;
  • from your authorised representative; or
  • where otherwise permitted by law.

Where practicable, we will collect personal information directly from you.

5. Why we collect and use personal information

We may collect and use personal information to:

  • create and administer your account;
  • authenticate your identity;
  • provide the Platform and its features;
  • administer the KYA assessment;
  • calculate or generate an assignment profile;
  • personalise prayers, declarations, scriptures, growth pathways and action steps;
  • save and synchronise your journals and notes;
  • track your progress;
  • provide reminders and notifications;
  • enable community, group or church-partnership functionality;
  • process subscriptions and purchases;
  • provide technical and customer support;
  • respond to enquiries;
  • understand how the Platform is used;
  • test, maintain and improve Platform performance;
  • develop new features and resources;
  • detect and prevent fraud, misuse and security incidents;
  • enforce our Terms and Conditions;
  • meet legal, regulatory and accounting obligations;
  • protect the rights, safety and security of users, KYA and third parties;
  • communicate service updates;
  • send marketing communications where permitted; and
  • create aggregated or de-identified statistics and insights.

We may also use information for another purpose where you have consented or where the use is permitted by law.

6. Sensitive information and your consent

We will only collect sensitive information where:

  • you have consented;
  • the information is reasonably necessary for one or more of our functions or activities; or
  • collection is otherwise permitted or required by law.

Your consent may be provided when you create an account after being shown this Privacy Policy; choose to complete a faith-based assessment; voluntarily enter spiritual information; save a journal or prayer entry; submit a testimony; participate in a spiritual growth feature; or otherwise actively provide sensitive information.

You may withdraw your consent to future handling of sensitive information by contacting us. Withdrawal may affect our ability to provide personalised or faith-based features.

Withdrawal of consent does not necessarily require us to delete information that we are legally required or permitted to retain.

7. Assignment profiling, algorithms and artificial intelligence

KYA may use scoring rules, algorithms, automated systems or artificial intelligence to:

  • analyse assessment answers;
  • calculate assignment or archetype results;
  • identify patterns;
  • recommend content;
  • personalise prayer prompts, declarations or action steps;
  • organise journal or progress information; and
  • support Platform security and performance.

Your assignment result is intended as a reflective and educational tool. It is not a legally binding, professionally certified or divinely guaranteed determination of your identity, calling or future.

Automated results may be incomplete or inaccurate and should be considered alongside prayer, Scripture, wise counsel, personal discernment and appropriate professional advice.

KYA does not intend to use automated processing to make decisions that produce legal effects or similarly significant effects concerning you.

We will not use private journal entries, personal prayer notes or assessment responses to train a publicly available or general-purpose artificial intelligence model without obtaining appropriate permission or otherwise providing a lawful and transparent basis.

We may use de-identified or aggregated information to understand Platform performance and improve assessment quality.

8. When we may disclose personal information

We may disclose information to:

8.1 Technology and service providers

These may include providers of cloud hosting, database storage, application development, identity authentication, cybersecurity, email delivery, notifications, analytics, error monitoring, customer support, content delivery, payment processing, data backup and application marketplace services.

Service providers are permitted to use information only for authorised purposes and are expected to protect it appropriately.

8.2 Apple, Google and payment providers

Where you download the application or make a purchase through an application marketplace, information may be handled by Apple, Google or another marketplace or payment provider under its own privacy terms.

8.3 Churches, ministries and organisations

Information may be disclosed to a church, ministry or organisation where:

  • you have expressly requested or authorised the disclosure;
  • you join a clearly identified shared program;
  • you use an organisational account with disclosed administrative features; or
  • disclosure is required to deliver the relevant service.

Private journals and personal notes will not be routinely shared with organisational administrators.

8.4 Professional advisers

We may disclose information to lawyers, accountants, auditors, insurers and other professional advisers where reasonably necessary.

8.5 Legal and safety disclosures

We may disclose information where we reasonably believe disclosure is necessary to comply with applicable law; respond to a court order, subpoena or lawful government request; investigate fraud or illegal conduct; protect a person from a serious threat to life, health or safety; protect KYA, our users or the public; investigate a breach of our Terms and Conditions; or establish, exercise or defend legal claims.

8.6 Business transactions

If the Platform or its operating business is restructured, financed, merged, sold or transferred, personal information may be disclosed to relevant advisers, financiers, purchasers or successor entities, subject to appropriate confidentiality and privacy safeguards.

9. We do not sell personal information

We do not sell your private journals, prayer notes, assessment responses or other personal information to data brokers or advertisers.

We may use aggregated or de-identified information for analytics, research, reporting, product development or partnership insights where the information does not reasonably identify you.

10. Overseas storage and disclosure

KYA serves users in multiple countries and may use service providers located outside Australia.

Personal information may be stored in, accessed from or processed in countries where our cloud and technology providers operate; our authorised development and support teams are located; application marketplaces process information; or you access the Platform.

These countries may include Australia, India, the United States and other jurisdictions used by our technology providers.

Privacy laws in another country may differ from Australian privacy laws. Where required, we will take reasonable steps to ensure overseas recipients handle personal information consistently with applicable Australian privacy obligations.

11. Data security

We take reasonable administrative, organisational and technical measures designed to protect information against loss, misuse, interference, unauthorised access, unauthorised disclosure, alteration and destruction.

  • encryption in transit;
  • encryption at rest where supported;
  • access controls;
  • authentication controls;
  • secure cloud infrastructure;
  • logging and monitoring;
  • restricted administrative access;
  • security testing;
  • backups;
  • staff confidentiality obligations; and
  • incident-response procedures.

No electronic system is completely secure. We cannot guarantee that unauthorised access, cyberattacks, human error or other security events will never occur.

You are responsible for maintaining the confidentiality of your password and protecting access to your device and account.

12. Data breaches

If a data breach occurs, we will investigate the incident and take reasonable steps to contain and remediate it.

Where required by the Privacy Act 1988 or another applicable law, we will notify affected individuals and the Office of the Australian Information Commissioner where a breach is likely to result in serious harm.

13. Retention and deletion

We retain personal information only for as long as reasonably necessary to provide the Platform; maintain your account; fulfil the purposes described in this Privacy Policy; meet legal, tax, accounting and regulatory obligations; resolve disputes; enforce agreements; maintain security; and establish or defend legal claims.

When information is no longer required, we will take reasonable steps to delete or de-identify it, unless retention is required or authorised by law.

If you delete your account, your access to the Platform may end; your personalised profile, journals and notes may be scheduled for deletion; some information may remain temporarily in secure backups; transaction and legal records may be retained where required; de-identified information may continue to be used; and content already shared publicly or with a group may not automatically be removed from copies held by other users.

14. Accessing, correcting and deleting your information

Subject to applicable law, you may request to access personal information we hold about you; correct inaccurate or incomplete information; obtain a copy of certain information; withdraw consent; object to certain processing; restrict certain processing; delete your account or personal information; or make a privacy complaint.

You may be able to update some information directly within your account.

We may need to verify your identity before completing a request.

In some circumstances, we may lawfully refuse or limit a request. If this occurs, we will explain the reason where required.

15. Cookies and similar technologies

The KYA website and applications may use cookies, software development kits, pixels, local storage and similar technologies to keep you signed in; remember preferences; maintain security; measure website and application usage; diagnose technical problems; improve performance; and understand whether communications are effective.

You can manage cookies through your browser or device settings. Disabling certain technologies may affect Platform functionality.

16. Analytics

We may use analytics and diagnostic providers to understand how many people use KYA; which countries, regions or cities users access the Platform from; assessment completion rates; feature engagement; application stability; subscription performance; and general user journeys.

Where reasonably possible, reporting used for business intelligence will be aggregated or de-identified.

Analytics information will not ordinarily include the full text of private journal or prayer entries.

17. Marketing communications

We may send newsletters, product information, resources, event invitations or other promotional communications where you have provided consent; consent can reasonably be inferred under applicable law; or communication is otherwise permitted by law.

Marketing messages will identify the sender and provide a way to unsubscribe.

Unsubscribing from marketing does not prevent us from sending essential service communications, security notices, account messages, receipts or changes to legal terms.

18. Push notifications

With your device permission, KYA may send prayer reminders, reflection prompts, growth-challenge notifications, progress reminders, account and security notices, and Platform announcements.

You can control push notifications through your application or device settings.

19. Children and young people

KYA is not intended for children under 16 years of age.

A person under 16 must not create an account or provide personal information unless KYA has introduced a specifically approved youth service with appropriate parent or guardian consent and safeguards.

Users aged 16 or 17 should use the Platform only with the permission and supervision of a parent or legal guardian where required by local law.

If we learn that we have collected personal information from a child contrary to this section, we may suspend the account and take reasonable steps to delete the information.

A parent or guardian who believes a child has provided information without appropriate consent may contact kya@ruahtech.com.au.

20. Public content and testimonies

If you choose to publish a testimony, comment, endorsement, profile or community contribution, that content may become visible to other users or the public.

Before publishing a testimony outside the Platform, we may request your permission and may allow you to choose whether your full name, abbreviated name or anonymous attribution is displayed.

You should not publicly disclose information that you wish to keep confidential.

21. Third-party links and integrations

The Platform may contain links to churches, ministries, resources, social networks, application marketplaces and other third-party services.

Third parties operate under their own privacy policies and terms. We are not responsible for the privacy practices, security or content of services we do not control.

22. International users

KYA is operated from Australia.

If you access KYA from another country, your information may be transferred to and processed in Australia and other countries used by our service providers.

Where the European Union General Data Protection Regulation, United Kingdom GDPR or another similar law applies, our processing may rely on performance of a contract with you; your consent; compliance with legal obligations; protection of vital interests; or our legitimate interests in operating, securing and improving the Platform.

Depending on your location, you may have additional rights, including rights to data portability, restriction, objection and complaint to a local supervisory authority.

24. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes to the Platform; new technologies or features; changes to service providers; changes to law; changes to our information-handling practices; or operational and security requirements.

The updated version will be published with a revised effective date.

Where a change is material, we may provide additional notice through the Platform, by email or through another appropriate channel.

Your continued use of the Platform after an updated Privacy Policy takes effect will be subject to the updated policy. Where required, we will request renewed consent.
